1. Who we are and how this policy applies

Ringmate Pty Ltd (ABN 64 672 190 441) (“Ringmate”, “we”, “us”) provides AI voice receptionist software to Australian small and medium businesses (“Subscribers”). We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. Information we collect on behalf of your business

When a customer calls your Ringmate-provisioned +61 geographic number, our voice receptionist collects only the details you configure in your intake checklist—typically the caller's name, callback mobile number, street address or suburb, and job or appointment summary. For dental and allied health clinics, we recommend disabling clinical symptom storage and using our direct Cliniko calendar integration.

3. How we use and disclose personal information

We use collected call data solely to book appointments into your connected calendar (Google Calendar, Cal.com, Cliniko), create job leads in your trade software (ServiceM8, SimPRO, Tradify, HubSpot, Xero via Zapier), and send instant SMS or email summaries to you and your team.

4. Access, correction, and deletion requests

Business owners can delete any individual call recording or transcript immediately from the Calls & Transcripts console. Callers or business owners may also contact our Sydney Privacy Officer at privacy@ringmate.com.au to request access to or deletion of personal records within 14 days.
